Overview

InterSystems is hiring an Office Manager to provide administrative support for their Singapore office. You'll coordinate meetings, manage travel, and ensure a productive work environment. This position requires 5+ years of relevant experience.

Who you are

You have over 5 years of experience in office management or administrative roles, demonstrating a proactive attitude and high attention to detail. You excel in providing support to key members of the organization and are comfortable being the first point of contact for visitors. Your ability to manage multiple tasks efficiently and effectively is a hallmark of your work style.

You are skilled in coordinating travel arrangements and meetings, ensuring that all logistics are handled smoothly. Your experience includes liaising with various stakeholders, both internal and external, to facilitate communication and collaboration. You take pride in maintaining a clean and organized office environment, overseeing facilities maintenance, and managing vendor relationships.

What you'll do

In this role, you will provide comprehensive administrative support to the Singapore office, ensuring that all tasks are completed to a high standard. You will coordinate travel for executives and manage scheduling for meetings, conference calls, and video conferences. Your responsibilities will include front-of-house duties, acting as the first point of contact for visitors, and ensuring a welcoming atmosphere.

You will also handle office management tasks such as arranging for tradespersons, liaising with cleaning services, and organizing catering for events. Your role will involve minute-taking during meetings and preparing documents and presentations as needed. You will oversee expense reconciliation using WorkDay and ensure that all office improvement projects are executed effectively.

Collaboration with other departments, including HR, Recruitment, and IT, will be essential to your success in this position. You will proactively communicate with suppliers and vendors to maintain a safe and productive work environment. Your ability to manage multiple priorities and maintain a high level of organization will be key to thriving in this role.
