Who you are

You have experience in office administration, ideally within the finance industry, and are comfortable managing multiple tasks simultaneously. Your strong organizational skills enable you to maintain a well-stocked pantry and ensure that office supplies are always available. You are proficient in using software such as Excel and Outlook, and you have experience with Workday for processing expenses. Your ability to communicate effectively allows you to produce high-quality emails and messages for individuals at all levels of the organization.

You are familiar with liaising with external suppliers, including cleaners and maintenance personnel, to ensure the office environment is well-maintained. You understand the importance of health and safety standards and are proactive in arranging necessary training for staff. Your experience with floorplan management software is a bonus, as is your ability to work occasional weekends or events as needed.

What you'll do

In this role, you will work closely with the HR, IT Service Desk, and Senior Management teams to keep the office running smoothly. You will be responsible for arranging daily food deliveries and ensuring that service level agreements are met. Your duties will include maintaining an organized pantry and managing office stationery and branded equipment. You will also handle the repair and maintenance of office equipment and process inbound and outbound mail, coordinating with local couriers and international carriers.

Greeting visitors and coordinating in-person or virtual meetings will be part of your daily responsibilities. You will ensure that health and safety standards are up to date and will arrange fire safety and first aid training as needed. Additionally, you will plan quarterly office events at various venues across Warsaw, ensuring they are engaging and enjoyable for employees. You will also negotiate contracts with external vendors, working closely with the legal and finance departments to ensure compliance and efficiency.
