Who you are
You have a strong organizational mindset and are detail-oriented, making you well-suited for the role of Administrative Assistant. Your previous office experience, while not mandatory, is a plus as it equips you with the skills needed to thrive in a collaborative environment. You possess advanced organizational and writing skills, which are essential for managing various project documents and communications effectively. Your intermediate knowledge of Microsoft Word and Excel will help you create and manage project schedules and reports efficiently.
What you'll do
In this role, you will coordinate all project document control activities, ensuring that all documents and drawings are properly managed and compliant with client contracts. You will assist in the customer quoting process, ensuring that each customer receives the necessary information and documentation. Tracking and reporting on document control will be a key responsibility, keeping Project Engineers informed of the status of documents. You will also create project schedules when necessary and issue shop releases and shipping lists to facilitate production. Additionally, you will be responsible for the transmittal of various documents to and from customers, ensuring smooth communication throughout the project lifecycle. Your administrative duties will include organizing meetings, filing, and producing a variety of reports as needed.
