Who you are
You have 5-8+ years of experience as an Executive Assistant supporting senior-level executives in a corporate environment — you've honed your skills in managing multiple tasks and priorities effectively in a fast-paced setting. Your fluency in both Italian and English allows you to communicate seamlessly with diverse teams and stakeholders, ensuring that all correspondence is handled with professionalism and clarity.
You are detail-oriented and possess strong organizational skills — you thrive on creating order from chaos, whether it's managing calendars, coordinating travel arrangements, or preparing documents for meetings. Your ability to juggle various responsibilities while maintaining a high level of accuracy is a testament to your dedication and work ethic.
Your experience includes handling general correspondence and administrative tasks, which means you are adept at drafting emails, taking meeting minutes, and following up on action items. You understand the importance of confidentiality and professionalism when dealing with sensitive information, especially in a corporate environment.
You are proactive in your approach, always looking for ways to improve processes and enhance efficiency. Whether it's through organizing business travels or managing expense claims, you take initiative to ensure that everything runs smoothly for the executives you support.
What you'll do
In this role, you will provide a full range of administrative support to the Country Manager, Director of Implementation EMEA, and Professional Services Director Italy. Your responsibilities will include managing the day-to-day business operations for these top managers, ensuring that their schedules are organized and that they have all necessary materials for meetings and events.
You will assist top management from other ISC offices with hotel and transportation arrangements as needed, showcasing your ability to coordinate logistics effectively. Your role will also involve preparing business reports, managing data, and drafting presentations and meeting documents, which will require you to be proficient in various software tools.
Attending meetings and taking minutes in both Italian and English will be a key part of your responsibilities, as will issuing follow-up action plans to ensure that all tasks are completed in a timely manner. You will also provide administrative support during the hiring process of consultants and contractors using Workday, contributing to the growth and development of the team.
Supporting other departments in various projects and events will allow you to collaborate across the organization, enhancing your understanding of the business and building relationships with colleagues. Your ability to communicate effectively with all levels of the organization will be crucial in this role.
